Quoting for a 12 month contract

Hello All, I'm looking for some advice/guidance on providing costs for a 12 month contract.I've been asked to quote to regularly maintain a block of 9 flats. They share a communal garden with lawns, borders, trees & shrubs, the usual.The fortnightly visit will entail mowing the lawns, tending to the borders, weeding etc. But what is throwing me a bit is do I include the coats for leaf clearing, pruning of the trees, hedges & shrubs in the fortnightly costs or do I add that when I do them.Basically how do I charge for 2 visits a month over 12 months but not vary the costs each month but include all the work I will do over the 12 months?Any advice gratefully received as I'd like to provide a response by Friday.

  • You have answered the question within the question! How many visits will there be in a year? Write it all down. Write down how many hedge cuts will be needed and how long you expect to spend on them. Write down how much time you expect to be leaf clearing, say, 3 times in the autumn. Then write down how many grass cut visits over the year etc. Add it all up, decide what your internal hourly rate is, add waste and chemical charges, travel time and anything else such as fertilisers/bedding. Divide by 12 and bill that regular amount each month.

    create a simple spreadsheet; Weeks across top, tasks down side. estimate likely labour, supplies and waste per visit/month, add up columns both ways and you have a simple pricing sheet :-)
