We use them and went through the FSB and have Uk Fuels for diesel and Esso for Petrol. We chose UK fuels as good spread of stations and 2 very close to base that we mostly use. Have generally found stations near no matter where travelling in the UK. Pros are slightly cheaper fuel, but the main one is lack of paperwork / expensing payments staff make. Much safer than giving them a company debit card each!. We get a statement every 2 weeks showing amounts of fuel, price and vehicle reg / mileage. Really helps on admin with multiple vans, staff and machinery.

Cons, hard to get a single card available everywhere. We picked based on local stations. Staff can abuse by partially filling tank and also a fuel can for personal use - so important to keep an eye on mpg. Can be abused if lost as not all have a pin required.

Just looked up the price difference - it's about 4-5% saving. Adds up to a fair amount each year.

Thank you for the reply Andrew, I will check out both of these, still undecided if to go for one or not as it’s only me using it, but if it’s simple enough and I can save on fuel then I reckon I’ll go for it as pushing out a lot of miles atm commuting around 3 hours a day, cheers mate

How do you monitor the fuel used in machinery?

you can't - other than keep an eye on trends. At some time you with staff you have to end up trusting them. Problem is, often they do let you down. I check every so often consistency of usage and that the vans are actually present in the location of the fuel purchases. There have been some minor problems and I've heard from others similar stories. At the end of the day, if they are being dishonest with the card, it comes out eventually.

However, these problems would exist with fuel receipts / expenses; perhaps even more so.

It also helps you to be compliant with hmrc expenses rules re tracking & re-imbursement.

Enroll your fuel cards on the Velocity Fleet Card Management system - should be FOC via UK Fuel.

You can slice and dice your fuel card usage by all manner of data sets, including Geo, Out of Hours etc. Gives MPG , trends etc. Provides Fleet management tools, reminders, service check points etc. Also, typical Fuel card Invoices fully comply with HMRC Vat rules and can be downloaded into Accounts

Have a fair amount of experience on fuel cards in our business and worked with Phil on this when we had the LJN Fuel card offerings years ago.

Look at the small print some have minimum spend requirements per account that can be relatively high.
