Personally I send letters as my thinking is that its too easy to click on the delete button. I try and find out the persons name responsible for things such as grounds maintenance and send it to his/her desk.
Personally, a letter.
Whatever you do, ensure the syntax/grammar is 100% correct (ie spell check - check your title above ;-), addressed correctly and has been proof read by someone else....
If you choose a physical letter, ensure the quality (paper, envelope etc) matches the intended audience and is stamped correctly.
In a former life we used to call it a "Gross Error Check". It might seem unfair as you are offering landscaping services not English lessons, but there are plenty of other pedants, besides myself, who would dismiss out of hand a letter which was littered with errors.

Michael don't talk things to heart.
No one is worse than me at spelling. hence I always use spell checker.
I feel if you was to draft your own letter together and ask for constructive comments the response would be lot more receptive than I'm struggling to decide what to put in / how to word the letter any tips?
problem is I don't really know where to start think Ive got to many idears in my head its the introducing my business part im finding hard
